Opportunity
WEM has a rewarding opportunity for a Receptionist / Office Coordinator to join the team.
This role is based at our Head Office in Bella Vista. This is a full-time role, Monday to Friday (8:30am - 4:30pm).
Key Responsibilities:
- Answer incoming calls, screen and direct them appropriately, and take detailed messages for timely follow-up
- Welcome visitors, manage visitor security access, and ensure a professional front-office experience
- Maintain the cleanliness and organization of reception, kitchen, meeting rooms, and common areas
- Coordinate meetings, including arranging tea, coffee, and catering as needed
- Prepare correspondence and documents as required
- Monitor and manage office, site stationery, and kitchen supply orders
- Organise gifts, flowers, hampers, and gift cards for employees and clients
- Assist the Executive Assistant in coordinating events and staff accommodation
- Support the People & Culture team with preparing induction packs and managing PPE stock
- Coordinate with print production companies for site entry stickers, banners, and related materials
- Arrange miscellaneous office services, such as shredding, toner recycling, and pest control
- Manage eTags and fuel cards for company vehicles, including assisting staff with queries (e.g., resetting PINs)
- Provide administrative support to the Finance and Workshop teams, including fleet renewals and registrations.

- Previous experience within a similar role

- Outstanding organisational skills and the ability to manage multiple tasks efficiently
- Self-motivated with a proactive approach to problem-solving
- Dependable, with a strong sense of initiative and reliability
- High attention to detail and accuracy in all tasks
- Collaborative team player, capable of working effectively with all levels of management and staff
- Demonstrates sound judgment, discretion, and the ability to handle sensitive information with the utmost confidentiality
